General FAQ

Can my clients upload bulk MVR searches?2019-08-07T19:44:26-06:00

Yes. The system comes with easy-to-use Excel spreadsheet and CSV file interfaces for customers who want to run a large number of drivers’ licenses. Your customer service staff can upload the spreadsheet for them, or they can upload it themselves. Some of your larger customers will want to write an automated data exporter that loads directly into your system, which is where you can offer them our CSV interface.

Can I run searches for my clients?2019-08-07T19:46:07-06:00

Yes. Your clients can fax in orders for background checks, which your order entry staff will enter using the same easy data entry technology your clients use. Data entry is so fast that you can easily transcribe orders over the phone for your clients if you like. Once the order has been filled, it can be electronically delivered to your client or your customer service staff can mail or fax it to them.

How long are reports stored in the Accio Data system?2019-08-08T14:24:25-06:00

Reports are stored for the life of the account. If for some reason you close your account (for example, if your CRA is acquired), Accio makes it easy to download the reports.

Does Accio Data have an applicant portal?2019-08-08T14:23:57-06:00

Yes. The applicant portal functionality provides a way to directly engage the applicant in the process of placing a background check order. The portal ensures the applicant has signed a consent/release form before the order is processed. If you do not utilize the applicant portal for at least this one function (obtaining the applicant’s signed release form), there is no automatic way to place the order on hold until the release form has been signed. Once the applicant has signed the release online, you have the option of either sending the order to production or saving it as a draft for further review before activation.

The portal also reduces errors by eliminating double entry of subject information. In addition to the online signature function, you can have the applicant enter subject-specific data into the order form directly through the portal. This is especially helpful when gathering employment and/or education history.

The applicant portal greatly reduces the workload for your client when initiating the order process. The most your client may need to do is enter the subject’s first and last name, select a package, enter the subject’s email address, and click “Send to Applicant.”

The portal provides a way to gauge the applicant’s seriousness early in the process. When using any of the solicited portal options, your clients can see how their applicants respond to their request for information. You can also configure the system to remind the applicant multiple times to respond to the request.

What happens if the submission document is rejected by Accio Data? What are the next steps?2019-08-08T14:28:01-06:00

If the document is rejected, it is returned with a status of “Complete – See Comments,” and the reason for the rejection is specified in the text details of the report. It will go into a review queue so the employer or applicant can make the necessary corrections and resubmit the form. A resubmission fee will apply.

CBSV verifies through the SSA that you’re starting your background check with a name, date of birth, and SSN that all match each other. SSN traces provide a list of previous addresses and a list of names publicly associated with the SSN – but doesn’t tell you which name is correct.

CBSV is used for pre-employment background screening (before a job offer is made and/or accepted). It can be included as part of a standard background check package or offered as an additional process after initial results return issues with the provided SSN.

What needs to be included with each of my CBSV submissions?2018-07-13T15:51:25-06:00

The signed and completed Form SSA-89 unaltered in any way, including the Privacy Act and Paperwork Reduction Act page. Note: The second page does not need to be initialed or dated by the applicant but it needs to be included with the first page.

How does the “human verification” happen at Accio Data?2018-07-13T15:51:54-06:00

The Social Security Administration is very stringent when it comes to requirements for submitting CBSV. The form must be completely and correctly filled. The reason for verification must be clearly marked and the applicant’s signature must be a “wet” signature. (no e-signature). That’s why we inspect each document and either approve or reject it before submission to SSA.

If the SSA finds that the name and SSN are not a direct match with the SSA records or if the SSN is registered to a deceased person, we will return a result with “Complete-Hits” and the record will go into a review queue so that the employer and applicant can correct any erroneous information.

Note: employment decisions should not be made solely on the return of a “no” or “deceased” record result. Any re-submission due to a SSA rejection will be treated as a new submission.

What will CBSV not satisfy?2018-07-13T15:53:24-06:00

CBSV does not verify identity, citizenship, employment eligibility, nor does it interface with the Department of Homeland Security (DHS) verification system. CBSV verifications do not satisfy DHS’s I-9 requirements.

Do I have to be using the Accio Data platform in order to use the CBSV service?2018-07-13T15:54:08-06:00

Not at all. Non-Accio customers can be set up with stand-alone accounts for submitting forms and receiving results.

If you are an Accio Data customer, you also get these benefits:

Direct Credit card payment

With this model, your customers must supply a credit card (we’ll keep everything but the CVV code on file for them if they wish). Their report is accepted for processing only if the automatic billing of their credit card is successful.

Each customer may be flagged as being required to pay with a credit card or as an invoiced customer individually as their account is set up.

Invoice Templates

With this model, we create invoices for you automatically on whatever schedule you wish. Our invoices can be minimal or detailed, and billing details are always available to the consumer for review online. When we create invoices for you, we brand the invoice with your logo, address, customer service numbers, etc.

Your Own Invoices

We also provide a CSV exporter that you can use to export all billing details into an external system for manipulation and invoicing however you’d like.

I have a client who hasn’t paid. Can I disable their ordering?2019-10-10T09:34:18-06:00

Yes. Even if you have a client with 1,000 users, you can disable ordering for the entire account and all users with the click of a button. When they pay their invoice and their account is current, you can switch ordering back on with another click. You can also customize a message to the account’s users to let them know why their account has been disabled.

We support any data provider that can accept search requests via email and fill orders in a web browser. We also support many data providers with an automated ordering interface, HR-XML or otherwise. We add new automated providers regularly, and we do so free of charge (monthly minimums may apply). Call us about the providers you use and we’ll answer your questions.

No. We provide a LinXML integration to our clients, but FRS will not allow clients to receive orders sent from our platform. We can offer you the following options:

  • Contact FRS or check your contract to see if integration is allowed.
  • Get a web portal login to your client’s system and process orders manually.
  • Contract a developer to build an integration with us that does not use LinXML.
  • Upgrade to the Accio Data platform. We believe in open. partnerships, and we’ll contractually agree to always allow you to integrate with whomever you desire.

Yes. Accio Data offers a spreadsheet for bulk upload of accounts to the platform and/or users to an account.

An unsolicited portal is simply a link on your client’s website where they can embed a custom URL (that either you or they create using a special function in Accio Enterprise) that takes applicants to the applicant portal where they can begin the order process. No special invitation (or email) is sent from the system.

I have a client who doesn’t want their human resources staff handling candidates’ personally identifiable information (PII). How can they enter information for the background check without seeing PII?2019-10-10T09:43:57-06:00

Accio Data has a function that, when selected, will send the applicant an email with a link to a portal where they can enter his or her Social Security number and/or date of birth. The applicant can then sign the release form electronically.
